Privacy Policy

What we collect, why we collect it, who sees it and what you can do about it. In plain English, because you should not need a lawyer to read a privacy policy.

01WHO WE ARE AND WHAT THIS COVERS

1.1Sell Mates is operated by Sell Mates Pty Ltd (Sell Mates, we, us, our). We take your privacy seriously and we handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1.2This policy explains what personal information we collect, why we collect it, who we share it with and what you can do about it. It applies to our website, our events, our member portal and every other way you deal with us.

02WHAT WE COLLECT

2.1We only collect what we need to run Sell Mates. That usually means:

  • Identity and contact details: your name, email address, phone number and postal address.
  • Business details: your business name, ABN, industry, role and website.
  • Payment information: handled by our payment provider. We receive confirmation of payment, the last four digits of your card and your billing details. We never see or store your full card number.
  • Membership and event information: which events you register for, attend or cancel, and anything you tell us about how to make the day work for you, such as accessibility or dietary requirements.
  • Directory information: the business and contact details you choose to publish in the member directory and Buy & Sell portal.
  • Things you send us: emails, form responses, survey answers, feedback and testimonials.
  • Event photography and video: images and footage captured at Sell Mates events, and whether you have told us you would rather not appear in it.
  • Website information: your IP address, browser and device type, pages viewed and how you found us, collected through cookies and analytics tools.

2.2Sensitive information. We do not seek sensitive information about you. If you volunteer something sensitive, for example a dietary or accessibility requirement, we use it only for the purpose you gave it to us and we do not keep it longer than we need to.

03HOW WE COLLECT IT

3.1Most of the time we collect information directly from you: when you buy a ticket, fill in a form, join the portal, email us, attend an event or subscribe to our list.

3.2Sometimes we collect it from other sources, such as publicly available business information, a mate who refers you to us, or our website analytics.

3.3If someone gives us your details so we can contact you, we will tell you where we got them the first time we get in touch.

04WHY WE USE IT

4.1We use your personal information to:

  • set up and administer your membership, including renewals, invoices and receipts;
  • run our events, including registration, name badges, catering and venue requirements;
  • operate the member directory, the Buy & Sell portal, accountability circles and member introductions;
  • send you information about your membership, your events and the practical things you need to know;
  • send you Sell Mates marketing, which you can opt out of at any time;
  • improve our workshops, resources and website;
  • promote Sell Mates using photography, video and testimonials from our events; and
  • meet our legal, tax and accounting obligations.

4.2If we ever want to use your information for something not described here, we will ask you first.

05WHO WE SHARE IT WITH

5.1We do not sell your personal information. Ever. We share it only with:

  • Other members, through the member directory and Buy & Sell portal, using the details you choose to publish;
  • Our service providers, including our payment provider, our CRM and email platform, our event venues and caterers, and our accountants;
  • Anyone you ask us to, such as a member we introduce you to; and
  • Regulators, courts or law enforcement, where we are required or authorised by law.

5.2Overseas disclosure. Some of our service providers store data outside Australia, most commonly in the United States. Where that happens we take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.

06THE MEMBER DIRECTORY

6.1Your directory listing is visible to other Sell Mates members, not to the public. You choose what goes in it and you can update or remove it at any time.

6.2Other members may contact you directly through the directory for genuine, relevant business reasons. They are not permitted to add you to a mailing list or automated sequence, send you bulk marketing, or export or scrape member data. Breaching that is a breach of our Membership Terms and we act on it.

6.3If a member misuses your details, tell us at [email protected] and we will deal with it.

07MARKETING AND YOUR CHOICES

7.1When you join Sell Mates or subscribe to our list, you consent to receiving marketing emails from us. Every one of them has an unsubscribe link, and we honour it promptly, in line with the Spam Act 2003 (Cth).

7.2Even if you opt out of marketing, we will still send you the emails we need to send to administer your membership, such as receipts, event logistics and renewal reminders.

08EVENT PHOTOGRAPHY AND FILMING

8.1We photograph and film our events and use that material to promote Sell Mates. By attending, you consent to your image, voice and likeness being recorded and used. In a room of two hundred people, wide and crowd shots are unavoidable.

8.2If you would rather not be photographed, tell us at registration. There is a designated no-photo area at the back of the room and our photographer stays away from it. We also record your preference so we know who to keep out of the frame.

8.3Nobody is featured in Sell Mates marketing if they have told us they would rather not be. If something of you is already published and you want it removed, email us and we will take it down from our own channels.

09COOKIES AND ANALYTICS

9.1Our website uses cookies and similar technologies to keep the site working, remember your preferences and understand how people use it.

9.2You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.

10KEEPING IT SAFE

10.1We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification and disclosure. That includes access controls, reputable providers and limiting who inside Sell Mates can see what.

10.2No system is perfect. If we ever have a data breach that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

11HOW LONG WE KEEP IT

11.1Financial records. Invoices, receipts and payment records are kept for seven years after the transaction, because Australian tax law requires it.

11.2Everything else. Your contact details, directory listing, form responses and event records are deleted or de-identified 24 months after your membership ends, unless you ask us to remove them sooner.

11.3You can ask us to delete your information at any time, see section 12.

12ACCESS, CORRECTION AND DELETION

12.1You can ask us for a copy of the personal information we hold about you, and we will provide it within a reasonable time and at no cost. If we cannot give you access, we will tell you why.

12.2If something we hold is wrong, out of date or incomplete, tell us and we will correct it.

12.3You can ask us to delete your personal information. We will do so unless we are required to keep it by law, for example for tax records.

12.4Email [email protected] for any of the above.

13COMPLAINTS

13.1If you think we have mishandled your personal information, email [email protected]. We will acknowledge your complaint within 5 business days and give you a response within 30 days.

13.2If you are not happy with how we handle it, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.

14CHANGES AND CONTACT

14.1We may update this policy. The current version always lives at sellmates.com.au/privacy, and the date at the top tells you when it last changed. Where a change is material, we will tell you by email.

14.2This policy is governed by the laws of Queensland, Australia.
